Position Summary:

The Senior Development Assistant in the Philanthropic Leadership Group (PLG) provides essential administrative support and analytical research skills to the Vice President of PLG and will be the sole administrator to the entire PLG team — therefore it is imperative for this person to be collaborative to be able work with the entire PLG department.

The PLG department serves as the strategic engager of major donors to UJA’s annual campaign. The work of our team is varied, and includes over 30 programs and events throughout the year to engage and steward UJA’s major donors; much of this engagement is through the major giving societies at the $25K+ gift level. In addition, ongoing meetings, donor interactions, and collaborative projects are a central part of our work.


Major Responsibilities:  

  • Learning to navigate and maintain a sophisticated donor database.
  • Rapidly becoming adept at using the database to generate gift reports and process new gifts.
  • Building internal relationships and successfully navigating the various departments in a large organization to effectively and expeditiously complete assigned tasks.
  • Assisting in the development of fundraising materials, which may include assembling mailings, processing gifts and preparing gift-related paperwork.
  • Staffing fundraising events, which may require time before and after business hours.
  • Tracking attendance for events and communicating regularly with major donors who RSVP or require additional information.
  • Supporting professionals in everyday tasks, managing calendars, scheduling meetings, answering phones, etc.
  • Preparing for internal and external meetings, as well as donor meetings and site visits, including logistics, typing and duplication of materials.
  • Documenting donor meetings and significant correspondences to maintain accurate records of activity and engagement.
  • Tracking and researching prospective donors; maintaining charts to track strategy for donor and prospect engagement.
  • Preparing and reconciling weekly reports to ensure that the gift record in the fundraising system reflects original donor instructions, and making adjustments if necessary.
  • General administrative duties, such as routing mail, filing, photocopying, and faxing.


 Qualifications and Competencies:  

  • Bachelor’s degree and related administrative experience
  • Comfortable using technology and learning new databases
  • Be able to work on projects independently while also working as part of a team
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint)
  • Positive work ethic, with strong interpersonal and communication skills
  • Detail-oriented, effective time manager, with the ability to prioritize and multitask in an extremely fast-paced work environment
